STUDIO POLICY


ATTENDANCE

  1. Frequency    
    1. Lessons are held weekly, with a set day and time to attend.
  2. Punctuality      
    1. Pupils must arrive on time for lessons as scheduled. Log in here to view your calendar.
    2. Pupils are kindly asked not to interrupt the previous lesson more than 2 minutes before your lesson is due to start as a courtesy to your fellow pupil.
    3. Children should be collected promptly after lessons as it is not practicable to supervise a child and teach another simultaneously.
  3. Sitting In & Progress Inquiries
    1. Parents/ Guardians of very young children are advised to attend the first lesson as this may help them feel more at ease.
    2. Parents/ Guardians should accompany children to and from lessons as appropriate but are not allowed to sit in on lessons on a regular basis. 
    3. Parents/ Guardians may request to sit in on a lesson with prior notification (no less than 2 days) 
    4. The teacher may request for the parent or guardian to sit in on a lesson; prior notification (2 days) will be given
    5. Parents/ Guardians are encouraged to make inquiries and/ or raise concerns about their child’s progress at any time.
  4. Practising      
    1. Parents/ Guardians must ensure that children practise regularly using current or previous lesson notes as a guide.
    2. Lesson Notes are prepared after every lesson and comprise a summary of the lesson, audio recordings and instructions for practising at home. These are usually emailed to Parents/ Pupils immediately following the lesson.
    3. Lesson notes are also available in the student portal when you login online.  
  5. Absence & MakeUp Lessons     
    1. At least 24 hours’ notice is required if you are unable to attend and require an alternative MakeUp slot. Please note that the fee for the original slot is however still payable. 
    2. Only one (1) MakeUp Lesson is allowed per pupil per term and cannot be carried over into halfterm, holiday breaks or the new term. To avoid disappointment, cancelling lessons sufficiently in advance will ensure re-scheduling arrangements can be made in a timely manner.
    3. MakeUp arrangements will not be made for a No Show (absence without notification) and the lesson fee is still payable.
    4. If I am going to be away during the course of the term, you will be notified in advance and my absence will be factored in at the beginning of term when you are invoiced .
    5. If I'm away in emergency you have the option to have a MakeUp Lesson at a later date or request a refund.  
    6. Swap Register: Should Pupils/ Parents be willing to seek assistance or assist others with swap arrangements, please contact me if you wish that your lesson slot (day & time) and contact details (initials & mobile #s only) be placed on the swap register. Swap register updates are emailed only to those who have subscribed to it. All swap arrangements must be confirmed with me before they are executed.
  6. Breaks & Holidays 
    1. Half-terms, Public holidays and Vacation periods are observed in accordance with Medway official school term dates and these will appear on your calendar when you log in. Invoices are prepared having already taken these and any other planned absences into account.
    2. A flexible approach to scheduling may facilitate short holidays during term time for adult pupils only.  However, to ensure pupils progress steadily and at a rate at which achievement is measurable, your calendar schedule represents the minimum number of lesson slots that must be taken up each term (2 half-terms). This also assures the business receives a fixed minimum income in order to effectively manage its financial commitments.  
  7. Weather & Unforeseen Circumstances     
    1. In the event of non-attendance due to illness (including isolating for coronavirus) or other unforeseen circumstances (including adverse weather conditions), the lesson slot must still be paid for, however, a subsequent MakeUp Lesson will be arranged at no additional cost. See 5.1 above.
  8. Food & Drink     
    1. Pupils are kindly asked not to bring  any food or drink item into the studio please.    

FINANCIAL

  1. Invoicing     
    1. Lessons are invoiced termly (2 half terms). There are 3 terms in a teaching year.
    2. Your commitment to honour an invoice in its entirety is confirmed on commencement of lessons in respect of that invoice.
    3. The invoice due date is the last day on which the remaining balance of the invoice becomes payable.
    4. Workshops are invoiced separately as and when they occur.
    5. If you wish to continue having lessons during vacation periods, a separate invoice will be issued in this regard.
  2. Payments    
    1. Fees are payable in advance of lessons and in accordance with the terms indicated on your invoice i.e. either monthly or termly.
    2. When paying by monthly instalment, each payment is normally 1/3 of the total balance due.  
    3. Fee payers are kindly asked to organize standing orders with your bank to ensure that payments are made regularly and the final payment is completed by the due date.
    4. Failure to pay fees on time will result in a £10 charge being added to the balance per invoice, per month until the account is brought up to date. Lesson slots will be released after 14 days of non-payment and the entire invoice balance will immediately become payable before lessons are re-instated.

CANCELLATION

  1. One (1) month notice is required if you wish to cancel your lesson block once the term has commenced. 
  2. There is a charge of  one (1) lesson's fee which will be factored into any refund that may be due.
